Which ombudsman handles South Western Railway complaints?

Rail Ombudsman. Once South Western Railway’s own complaints process is exhausted (after 40 working days), you can take your complaint there for free. Go to the ombudsman.

Can you complain to the Office of Rail and Road about South Western Railway?

Not for individual disputes: the Office of Rail and Road sets the rules for the sector but does not resolve personal complaints or award compensation. Complain to South Western Railway directly first and keep written records, then escalate to Rail Ombudsman if it stays unresolved after 40 working days or you receive a deadlock or final-response letter. You can still report South Western Railway to the Office of Rail and Road to flag systemic problems, but that will not get your own money back.

The industry compensation scheme. Most operators pay out from 15 or 30 minutes of delay, regardless of the cause, on a sliding scale up to a full refund.

Tips for South Western Railway complaints

  • Claim Delay Repay whenever you arrive 15 minutes or more late, whatever caused it: 25% of a single fare at 15 to 29 minutes, 50% at 30 to 59, the whole single fare from an hour and the whole return fare from two
  • You have 28 days from the journey to claim, so get that in before you chase anything else
  • SWR publishes no complaints email. Use its online complaints form or write to Freepost SWR CUSTOMER RELATIONS, and keep a copy of whatever you send
  • SWR aims to reply within 20 working days and says it closes 95% of cases inside that. Ask for a final response in writing if the first reply misses the point
  • Keep receipts for reasonable taxi or hotel costs when a cancellation stranded you - those are claimed separately from Delay Repay
  • After a final response, or 40 working days with nothing resolved, the Rail Ombudsman is free and its decision binds SWR
